We're looking for a highly organized and proactive Administrative Assistant to be the operational backbone of our New York office while providing critical support to our EMEA teams in London and Paris. This role sits at the intersection of office operations, event execution, and employee experience — making it ideal for someone who thrives in a fast-paced, global environment and takes pride in keeping things running smoothly.
Core Responsibilities
NYC Office Management
- Serve as the primary point of contact for all day-to-day office operations in New York
- Manage vendor relationships, facilities, supplies, and office services to ensure a well-functioning workspace
- Coordinate with building management on maintenance, security, and space needs
- Own office orientation for new NYC hires
- Proactively identify and resolve operational issues before they become disruptions
EMEA Office Management Support
- Provide remote coordination support for offices in London and Paris, serving as a reliable point of contact for cross-regional operational needs
- Support EMEA office with vendor relations, supply procurement, and facilities coordination
- Coordinate the EMEA Quarterly Business Review (QBR), including logistics, venue or virtual setup, vendor management, and communications
- Help drive consistency in office operations and processes across EMEA locations
- Act as a culture connector — ensuring EMEA employees feel engaged and supported from afar
Events — NYC (Customer & Candidate)
- Plan and execute customer-facing events in New York, from intimate dinners to larger hosted gatherings, ensuring a polished and on-brand experience
- Coordinate candidate experience events, including recruiting receptions, office tours, and hiring-related programming
- Partner with Sales, Marketing, Recruiting, and People teams to align events with business goals
People, Culture & Employee Experience (NYC + EMEA)
- Champion employee experience initiatives across New York, London, and Paris
- Coordinate team events, celebrations, recognition moments, and culture programming across regions
- Support onboarding experiences that help new hires feel welcomed and connected from day one
- Partner with the People team on engagement surveys, office perks, and regional culture initiatives.
